Property Manager Hail Claim Contractor — One Packet per Address

Hail hit a dozen of the homes you manage. Each one has a different owner, a different policy and a tenant who needs notice, and you need one contractor who keeps it straight.

A property manager hail claim contractor works for two people at once: the owner whose policy it is and the manager who runs the property. JMB Builders gives you a photo set and line-item scope per address, a list of owner approvals, and tenant access dates for your notices. Owners file and deal with their insurers. Twin Cities metro, priced per unit. Book a free in-home estimate, or send photos for a reply within one business day.

  • Priced per unit, scope and invoice per address
  • Owner approval tracked before any order
  • Tenant access dates for your notices
Rear of a cream-sided home with new white grid windows on both levels

After a big storm a manager is in the middle: the owners hold the policies and make the decisions, the tenants live there, and the manager has to make it all happen. A contractor who treats the portfolio as one job makes that worse. What helps is the opposite: one clean packet per address, so each owner's claim stands on its own and you can forward it without editing.

So every address gets its own file. Each damaged window, door and screen is numbered by elevation and photographed with a scale reference. The scope is line by line, in the terms an adjuster uses. The owner, or whoever the owner authorizes in your management agreement, files the claim and deals with the insurer and the adjuster. We meet the adjuster at the property when the owner wants us there. Coverage, deductibles and deadlines are questions for the owner's agent; we do not negotiate claims and we do not give legal advice.

You get a simple status list: address, owner, claim filed or not, scope sent, scope approved, ordered, scheduled, done. Nothing is ordered for an address until its owner has approved the scope. Each opening is measured in person first, and when several owners choose the same window, ordering together keeps the colors consistent across the portfolio. Install dates go to you per address, with enough lead for your tenant notices, and each home is closed up the same day it is opened.

Three photos and a sentence is enough: a reply within one business day, or ask for a free in-home estimate. Or text the photos to 763-204-2099.

Photos (optional)

Up to 3: one wide shot of the area, one close-up of the opening or trim, one of anything you're unsure about.

How do you want your quote?

Free, no obligation. Every quote is written and itemized, so you can compare it line by line.

What you supply

  • The address list with owner names and who approves work for each
  • Claim numbers as owners file, or a note when an owner chooses not to file
  • Tenant contact and access rules for each address
  • Your notice to tenants, sent from the dates we give you

What JMB supplies

  • A photo set and line-item scope per address, every opening numbered by elevation
  • A status list across the portfolio: filed, scoped, approved, ordered, scheduled, done
  • A walk with each owner's adjuster when the owner wants us there
  • One in-person measure of every opening before anything is ordered
  • Install dates per address with lead time for tenant notice
  • Each home closed the same day it is opened; floors and tenant belongings covered
  • An invoice per address, matched to that owner's approved scope, with finished photos
  • A certificate of insurance and a W-9 for your vendor file, on request

How it is priced: per unit

Quoted in writing from your photos, with a reply within one business day. What moves the number:

  • Number of addresses and units, and openings damaged at each
  • Glass, sash, screen or whole-unit replacement per opening
  • Doors and storm doors on the same scopes
  • Occupied units and tenant access windows
  • Owners choosing a standard window across homes vs. different choices per address
  • Brand and line; the lead time depends on the brand and is written on the quote

Send the address list and a few photos per address. We reply within one business day with how the packets would be organized.

How long it takes

Documenting several addresses usually runs a few days. Each address then moves on its owner's and insurer's schedule; installs are typically a day or less per home once units arrive.

How your project works

  1. 1

Send photos, get a written quote

Send three photos of the space and a sentence about what you want. You get a clear, itemized reply within one business day. Prefer a look in person? A free in-home estimate is always an option.

  2. 2

Pick materials, or bring your own

We help you choose profiles and materials that fit the house and the budget, or match your existing millwork exactly — or you buy the door or trim yourself and we install it. Everything is confirmed before the crew is scheduled.

  3. 3

    Clean, precise installation

The crew shows up on time, protects floors and furniture, and installs with tight joints and consistent reveals. Photos of the finished work go in your job folder.

  4. 4

    Walkthrough and invoice

We walk the finished work with you. If anything is not right, we fix it before we call the job done. Then one invoice, paid by check or direct deposit — no card fees, no payment links.

Situations and options

Owner files, manager coordinates

The most common setup. The owner files and talks to the insurer; you forward our packet and handle tenants and access. We send the invoice to whoever the owner names.

Owner skips the claim

Some owners pay the repair directly when the damage is near the deductible. The same packet becomes a plain quote for that address.

Same window across the portfolio

Owners who agree on one window spec get it on one order. It makes later repairs and turnovers simpler.

Property Manager Hail Claim Contractor — One Packet per Address: questions, answered

Can a property manager file a hail claim for the owner?

That depends on the owner's policy and your management agreement. Many insurers want the named insured to file or to authorize someone in writing. Ask the owner and the owner's agent. We document the damage the same way regardless of who files.

How do you keep hail repairs straight across many managed homes?

Each address gets its own photo set, scope and invoice, and you get one status list across all of them: filed, scoped, approved, ordered, scheduled and done. Nothing is ordered at an address until its owner approves the scope.

How much notice do tenants get before storm repairs?

We send install dates per address early enough for the notice your lease and Minnesota rules require, and you send the notice. Each home is closed up the same day it is opened, floors and belongings near the work are covered, and you have one number to call.

Who pays the deductible on a managed rental hail claim?

The owner, under their own policy. Minnesota law, Minn. Stat. 325E.66, bars a residential contractor from promising to pay or rebate any part of the deductible, and JMB does not. Questions about the deductible or coverage go to the owner's agent.

Do you meet the adjuster at each property?

When the owner wants us there, yes. We bring that address's numbered photos and scope and walk it opening by opening. The owner deals with the insurer and decides on the claim; we answer questions about the building.

Can the invoices go to the management company instead of each owner?

Yes, if the owner tells us to. Each address still gets its own invoice matched to its approved scope, so each owner's claim can close on its own.
