On an HOA hail claim for windows across a whole complex, the board or manager files on the master policy and deals with the insurer. JMB Builders documents every building, numbering each window and door by building, unit and elevation with scaled photos, walks the adjuster through it, then replaces to the association's standard on a unit-by-unit schedule. Twin Cities metro, priced per unit. Request a free in-home estimate, or send photos for a reply within one business day.

  • Priced per unit, one scope per building
  • Every opening numbered: building, unit, elevation
  • One adjuster walk for the whole complex
Replacement window with new white exterior trim on a lap-sided Twin Cities home

When a storm hits a whole townhome complex, the claim is not twenty separate jobs. If the declaration puts windows and doors with the association, the board or its manager files one claim on the master policy and works with the insurer. Our job is the building side: find every damaged opening, write it down so nobody has to count twice, and replace it on a schedule the owners can live with. Who owns which part, what the master policy covers, the deductible and any deadlines are questions for the board's agent; we do not give legal or coverage advice and we do not negotiate the claim.

Documentation is what keeps a complex-wide claim from turning into an argument. Every building gets a number, every unit a letter, every elevation a side, and every window, patio door, entry door and screen its own line. Each opening is photographed with a scale reference, and the photo file names match the scope lines. The scope says glass, sash, capping, screen or whole unit for each opening. With that, the adjuster can walk the complex once, building by building, and the board can see what the claim covers per unit.

Then the order. Each opening is measured in person before anything is ordered, and the replacements go in as one order to the association's approved specification, so color, grille and profile match across every building. Installs run building by building and unit by unit, with dates sent to the manager for owner notices. Each unit's openings are closed the day they are opened, floors and furniture inside are covered, and the manager has one number to call. Lead times depend on the brand and are written on the quote.

Photos (optional)

Up to 3: one wide shot of the area, one close-up of the opening or trim, one of anything you're unsure about.

How do you want your quote?

Free, no obligation. Every quote is written and itemized, so you can compare it line by line.

What you supply

  • The board's decision on who files, and the claim number on the master policy
  • The declaration section on windows and doors, or the manager's written summary of it
  • The association's approved window and door specification
  • A site map or unit list, and a manager or board contact for access and owner notices
  • Approval of the scope and schedule by whoever the board authorizes

What JMB supplies

  • A walk of every building, every opening numbered by building, unit and elevation
  • Scaled photos of each damaged window, door and screen, file names matched to scope lines
  • One line-item scope per building, grouped by unit
  • A walk with the master policy adjuster when the board wants us there
  • One in-person measure of every opening, then one order to the association's specification
  • A unit-by-unit install schedule for owner notices; each unit closed the day it is opened
  • Floor and furniture protection inside every unit
  • Finished photos and an invoice per building, matched to the approved scope
  • A certificate of insurance and a W-9 for the association's file, on request

How it is priced: per unit

Quoted in writing from your photos, with a reply within one business day. What moves the number:

  • Number of buildings and units, and openings damaged per unit
  • Glass only, sash, capping or whole-unit replacement per opening
  • The association's required specification versus a basic like-kind unit
  • Second-story openings and access between buildings, patios and landscaping
  • Patio doors, entry doors and storm doors included alongside the windows
  • Interior trim disturbed by full-unit replacements
  • Brand and line; the lead time depends on the brand and is written on the quote

Send the site map, the number of buildings and units, and photos of a few typical damaged openings. We reply within one business day.

How long it takes

Documenting a complex usually takes a few days on site. Then the insurer's review, made-to-order units, and installs that move building by building, often several units per week.

Situations and options

Association owns windows and doors

The board files on the master policy. Our scope goes to its adjuster, the order follows the association's specification, and the invoice goes to the association.

Owners own the windows

Each owner files on their own policy, but the association still sets the exterior look. We can document the whole complex at once so every owner's scope uses the same numbering and specification.

Split responsibility

Some declarations give frames to the association and glass or screens to owners. The scope lines are split the same way so each party sees their share.

HOA Hail Claim — Windows Across the Whole Townhome Complex: questions, answered

Who files the hail claim when the whole townhome complex is damaged?

Usually the board or its manager, on the master policy, when the declaration makes the association responsible for windows and doors. If the declaration puts them with the owners, each owner files on their own policy. Read the declaration and ask the association's agent. We document the damage the same way either way.

How do you document hail damage on dozens of townhome units?

Every building, unit, elevation and opening gets a number, and every damaged window, door and screen is photographed with a scale reference. The photo file names match the lines in a scope written per building. That lets one adjuster walk the whole complex once and lets each owner find their own unit.

Can one contractor replace windows for every unit in an association?

Yes, and it keeps the complex matched. Every opening is measured in person and goes on one order to the association's specification, so color, grille and profile are the same across buildings. Installs then run building by building on a schedule the manager sends to owners.

Can a contractor pay the association's deductible?

No. Minnesota law, Minn. Stat. 325E.66, bars a residential contractor from promising to pay or rebate any part of an insurance deductible, and JMB does not. How the deductible is shared among owners is set by the declaration and the board; ask the association's agent.

How are owners notified when their unit's windows are being replaced?

We give the manager a unit-by-unit schedule with dates, and the manager or board sends the notices. Each unit's openings are closed the same day they are opened, floors are covered, and the manager has one number to call if anything changes.

What if some owners want upgraded windows on the association claim?

Anything beyond the association's specification and the approved scope is the owner's own line, priced separately, and only if the association's rules allow it. It never goes on the claim. The board decides what the exterior standard is.
