Apartment insurance claim documentation by unit is a record the adjuster can follow without re-counting: an opening schedule for every unit, wide and close photos with a scale in the frame, and one line per damaged window, door or trim item. JMB Builders builds it for apartment owners and managers in the Twin Cities metro. The owner files and deals with the insurer. Priced per project. Photo reply within one business day, or a free walkthrough.
- Opening schedule for every unit
- Wide and close photos, scale in every shot
- One line per window, door or trim item

On a house, an adjuster can count the windows in an afternoon. On an apartment property, the count itself is the job. If the owner's list, the adjuster's list and the contractor's list number things differently, every conversation turns into finding which window is which. The fix is one numbering system used by everyone from the first walk to the final invoice.
Here is how we build it. Each building gets a letter, each floor a number, each unit its number, and each opening a position on the wall: B-2-204-W2 is the second window on the west wall of unit 204 in building B. Every opening, damaged or not, goes on the schedule. Damaged ones are photographed wide to show where they are, then close on the glass, sash corners, capping, screen or door with a tape or scale card in the frame. Photo file names match the schedule. Each damaged item gets one line: what is wrong and what fixes it.
That record goes to the owner, who files and deals with the insurer. When the owner wants us there, we walk the adjuster through the same numbers. We do not file, negotiate or argue the claim; negotiating for an owner is work for a licensed public adjuster. Coverage, deadlines and appraisal are questions for your policy and your agent.

Apartment Insurance Claim Documentation by Unit: questions, answered
How should damage be documented on an apartment building insurance claim?
With one numbering system for every opening: building, floor, unit and wall. Each damaged window or door is photographed wide and close with a scale in the frame, the file names match the schedule, and each item gets one line saying what is wrong and what fixes it. Everyone reads the same record.
Should undamaged windows be on an apartment claim schedule?
Yes. Listing every opening, damaged or not, shows the adjuster that nothing was skipped and makes it easy to add an item later if damage shows up. Undamaged openings are just marked as checked.
Do you negotiate the apartment insurance claim with the adjuster?
No. The owner files and deals with the insurer. We document, walk the adjuster through the building when asked and do the repair. Negotiating a claim for an owner is work for a licensed public adjuster.
What makes a hail or storm photo useful to an adjuster?
A wide shot that shows where the opening is, then close shots of the damage with a tape or scale card in the frame, in focus and in daylight. A file name that matches the scope line means nobody has to guess which window it is.
How long does it take to document storm damage on every unit?
For a mid-size apartment building, usually a day or two on site, depending mostly on getting into units. The owner's tenant notices set the pace, so we give the manager the unit order ahead of time.
Is there a deadline to document damage for an apartment claim?
Policies set their own deadlines for reporting a loss and finishing repairs. Check your policy and ask your agent. Documenting soon after the storm, before repairs or more weather change things, is good practice either way.
