Xactimate window line items explained: each line on the adjuster's estimate is one action on one kind of item. R&R means remove and replace, D&R means detach and reset, and the unit (each, linear foot, square foot) sets the count. Columns show replacement cost, depreciation and actual cash value. JMB Builders reads the estimate against the house opening by opening and shows you what matches, what is missing and what is different. Twin Cities metro.

  • R&R = remove and replace; D&R = detach and reset
  • Check the count and size on every window line
  • RCV minus depreciation equals the first check

Many insurers write property estimates in Xactimate, a common estimating program, and the result reads like a parts list. Each line is one action on one item, grouped by room or by side of the house: remove and replace a vinyl window of a size range, detach and reset a screen, wrap a window with aluminum capping by the linear foot, mask and protect, haul debris. A line has a quantity and a unit, a unit price, and then the columns that matter for your checks: replacement cost value, depreciation and actual cash value.

On a claim with twenty or thirty windows, the questions are simple and the answers are buried. Is every damaged opening on it, on the right wall? Is the size range right, or is a large picture window written as a small one? Is it a whole window where the sash is split, or glass only? Are the screens there? Is the interior casing and stool that has to come off on the list? Is the capping or exterior trim on the lines for that opening? Is there a line for access on the second floor, and for the permit?

We read the estimate against our own numbered log of the house and mark each line: matches, missing, wrong size, wrong repair. You get a short list you can take to your insurer. We do not negotiate the claim or argue coverage; that is between you, your insurer and, if you choose one, a licensed public adjuster. We explain the estimate and do the repair.

Situations and options

R&R (remove and replace)

A whole new item: the window, the sash, the screen. Check the size range, the material and the glass type match what is in the wall.

D&R (detach and reset)

Taken off and put back, not replaced: a screen, a storm window, a gutter in the way. Fine when the item is undamaged and comes off cleanly.

Units: EA, LF, SF

Each, linear foot, square foot. Windows are usually each; capping and trim by the linear foot; glass sometimes by the square foot. A wrong unit is a wrong count.

RCV, depreciation, ACV

Replacement cost, the amount held back for age, and what is paid first. Whether depreciation comes back after the work is set by your policy.

Xactimate Window Line Items Explained — Reading the Adjuster's Lines: questions, answered

What does R&R mean on an insurance window estimate?

Remove and replace. The old item comes out and a new one goes in, with the labor to do it. On a window line, check that the size range, material and glass type match the window in your wall, and that the quantity matches the number of damaged openings on that side of the house.

What is the difference between R&R and D&R on an adjuster's estimate?

R&R replaces the item with a new one. D&R, detach and reset, takes the existing item off and puts it back, used for things in the way of the repair that are not damaged, like a screen or a storm window. If a D&R item is actually damaged, it should be R&R.

How do I read the window section of an adjuster's estimate?

Go line by line with a numbered list of your windows beside you. For each line, check which wall or room it is for, the quantity, the unit, the size and the action. Then look for what should be with each window: screen, capping or exterior trim, interior casing and stool, and any access for the upper floor. Mark what is missing.

Why are there three columns of numbers on my insurance estimate?

Replacement cost value is what the line costs new. Depreciation is the amount held back for age and condition. Actual cash value is the difference, usually the first check. Whether you get the depreciation back after the work is done depends on your policy; check it and ask your agent.

Does every insurance company use Xactimate?

Many do and some use other programs, but the logic is the same: one line per action per item, with a quantity, a unit and a price. If the format is different, the same questions apply: is every opening there, at the right size, with the right repair.

Will you argue with my insurance company over the estimate?

No. We read the estimate against the house, mark what is missing or different and give you photos and a line-item list to send. You talk to your insurer. Negotiating a claim on your behalf is what a licensed public adjuster does.
